Intra-Agency Coordination Board (ICB) Scheduling Information

The ICB oversees the county government’s Office of Community Use of Public Facilities.

 

Request Window July 15-August 1: Each year, organizations can place requests for use of public facilities for during September 1 through March 31. 

 

Special PTA Priority Window July 15-August 15: PTAs have until August 15th to get their requests in to the Board.  All of their requests that arrive by the August 15th deadline are granted automatically.

 

Fees for Weekend Use of Schools: Currently, the fee for using a school on the weekend is the hourly pay of the school worker who must be present while the school is open.  The current rate is $25.50/hr.  Everyone pays a startup fee equivalent to 30 minutes of the school worker’s time, currently $12 (15 minutes to open before the group arrives; 15 minutes to close up at the end).

 

When PTA Events are Free: Some PTA activities are viewed as school functions since they are so closely related to the educational function of the K-12 academic program.  These activities are treated differently and held without cost to the PTA.  One example of this is monthly PTA meetings.  These activities are booked by the schools themselves.

 

Other PTA activities are more similar to community activities—PTA fairs, carnivals, socials, etc.—and are expected to contribute to the ICB’s reimbursement to MCPS for staff coverage, supplies, utility costs, and wear and tear on the schools.  These activities are scheduled by Community Use of Public Facilities for all elementary and middle schools and three pilot high schools.
